Major Healthcare, representing a leading care sector provider, is hiring an operations and service support administrator for a Children’s Residential provider to ensure the highest standards of service across the Dartford and Southeast London areas.

Assuming responsibility for a wide range of HR and Administrative tasks within the Children’s Residential home to ensure seamless business operations for our employees and the wellbeing of the children within the home, maintaining all administrative and office systems and acting as one of the first points of contact to ensure effective communication between clients, staff and other services/agencies.

Duties and Responsibilities

  • Maintaining employee data on the HR System
  • Assisting with Administration and tracking of Training Matrix
  • Recruitment administration
  • Assist with DBS Applications and tracking
  • Issuing of Uniforms to New Starters
  • Managing the front of house area, including welcoming and settling guests
  • Arranging and organising office meetings as well as taking notes in meetings and distributing actions
  • Managing company correspondence, this will include managing incoming phone calls, emails, letters, packages and forwarding same to the relevant departments where necessary
  • Check deliveries as they arrive and forward to the relevant departments.
  • Filing and archiving paperwork and a weekly/monthly basis where necessary
  • Coordinating and managing the maintenance of the office building
  • Managing inventory of office supplies, including stationery and multimedia equipment to ensure smooth office operations.
  • Supporting department Heads with administration needs where necessary.
  • To ensure compliance with Safeguarding, Safer Recruitment, Health & Safety, Equal Opportunities and Diversity Policies
  • Provide assistance to staff, managers, and senior-level officers as needed
  • Create, prepare, and deliver reports to various departments
  • Receive and forward communications to different staff and departments
  • Organise meetings and meeting schedules for each Service/Department
  • Support the Human Resources function i.e., recruitment and disciplinary procedures as required
  • Work with accounting departments to process invoices, make payments, and track receipts
  • Setting up new accommodation/services with workstations and access to systems.
  • Administrative duties as required to support the business
  • Responsible for rotas, schedules, and diaries, working across the business.
  • Manage registration of new clients, diaries and databases as required for audit compliance.

Requirements

  • Educated to Diploma Level or equivalent (or willing to gain further accreditation)
  • 2 years’ experience for entry-level positions
  • Intermediate level of experience with productivity tools, such as Microsoft Office Suite
  • Highly organised and able to create an organised and easy-to-follow system for others
  • Ability to handle multiple tasks and duties simultaneously
  • Independently motivated, with the ability to take on tasks and duties without immediate direction
  • Strong communication skills
  • Excellent attention to detail, ability to work to strict deadlines and good prioritisation skills
  • Full driving License desirable

The successful candidate will be subject to an enhanced DBS check and a probationary period
