School Staffing Solutions are recruiting for a receptionist to join a fantastic team on site at a Special Needs School. You will be responsible for reception and telephone duties, welcoming visitors, diary management, taking deliveries and supporting the administration team with day-to-day admin tasks.

The school in Smallfield, Surrey supports children aged 6-11 years with communication difficulties typically associated with Asperger’s Syndrome and Autism.

Key Duties:

  • To act as the first point of contact for all visitors to site, following safeguarding processes at all times including checking ID documents and correct signing in and out procedures.
  • Answering telephone queries.
  • Liaising with office suppliers.
  • Gate control.
  • Identifying the caller’s Requirements for internal and external queries, providing an appropriate response.
  • Receiving, logging, passing on and if necessary, following up messages for colleagues in a timely and effective manner so that visitors are made to feel welcome and that colleagues can be notified about visitors.
  • Copying, collating and distribution of documents, operating and completing basic support activity for a standard copying machine.
  • Operating a computer to access databases and using word processing applications when required.
  • Maintaining, updating, sorting and retrieving a range of records/statistical data, including monitoring/ordering of stationery and office supplies if appropriate.
  • Accurate filing, indexing, retrieving and other related work.
  • Prepare documents, reports and presentations as required.
  • Typing and setting up documents such as letters and reports.
  • Keeping computer records up to date, e.g. filing.
  • Diary Management.
  • Maintaining the condition of the reception area and arranging for necessary repairs via Maintenance team.
  • Circulation of announcements as required.
  • Assisting and liaising with the Referrals team, receiving and passing on of phone enquiries, organising assessment dates.

About you:

  • Good level of literacy and numeracy (at least 5 GCSEs above 4 (or equivalent) to include English and Maths – Preferred).
  • Excellent communication skills both verbal and written.
  • Demonstrable experience of working in an administrative role.
  • Computer literacy – Excel, Word, Outlook and PowerPoint and ability to use range of databases once trained.
  • Ability to manage own time to deal with multiple tasks.

The Role / Key duties:

As our new Teaching Assistant, your role is to support our children with their learning and general wellbeing to ensure every child has the best opportunity to reach their full potential in a caring and safe environment.

Where necessary this may include supporting with care needs from time to time as well as positive behaviour management, adopting a tailored approach to the individual child.

Experience and Skills required:

  • Experience working with SEN in an employed or voluntary setting
  • Full UK driving licence absolutely necessary, as you will be required to transport pupils to and from school and also engage in off-site enrichment activities which requires transportation
  • Working towards Level 2 award in Support work in schools or an equivalent is desirable
  • GCSE Maths and English Level 2/C or above qualification is essential.
  • Understanding of the Safeguarding principles and Child Protection procedures.
  • Knowledge or experience of pupils with SEN or SEMH/ASD
  • Commitment to the role, the desire to put the child first and treat them as an individual
  • Be positive and creative in meeting pupils’ needs

Attendance and Student Support Officer

ATTENDANCE AND STUDENT SUPPORT OFFICER

School Staffing Solutions are recruiting on behalf of a college in Portsmouth who wish to appoint an ATTENDANCE & STUDENT SUPPORT OFFICER.

You will be responsible for the recording and monitoring of nonattendance and being proactive in contacting students’ parent/carers to establish reasons for nonattendance and recording this on student records. Reporting of any prolonged periods or patterns of absence to staff, especially for vulnerable groups.

Main Duties and Responsibilities:

  • Ensuring that all parent/carer reported student absence, by telephone or email, is logged onto the college register system in an efficient and timely manner
  • Responding to parent/carer phone calls/queries post automated non-attendance text being sent after register completion
  • Work closely with the safeguarding team when responding to parent queries of non-attendance
  • Referring any prolonged periods or significant patterns of student absence to the relevant support team, via the Assistant Principal
  • Providing an efficient and organised attendance administrative function that assists student support staff to carry out their roles effectively
  • Collaborate with the Finance Officers to monitor the attendance levels of students in receipt of financial/travel support
  • Responding to enquiries from students regarding student support and assisting students in accessing services by either booking appointments or ensuring that they are directed to the most appropriate member of staff

About You:

  • A good standard of basic education (Maths and English GCSE pass or equivalent)
  • 2 to 3 A Level passes or equivalent in a relevant subject
  • Experience of working with employers, voluntary organisations, or agencies
  • Experience of working with young people 16-19 in an educational setting
  • Good verbal, written and communication skills
  • Confident in the use of IT e.g. Microsoft, SharePoint
  • Outstanding accuracy and attention to detail
  • Ability to deal with a wide range of people and able to relate to students of all ages
  • The ability to deal with difficult issues in a sensitive manner
  • Enthusiastic, committed, and flexible in approach and able to manage their own time and work under pressure
