Full-time – Permanent

Want to be the person who keeps technical projects running smoothly behind the scenes?
This is your chance to step into a newly created Office Manager role that gives you real ownership – without having to “fix” chaos. You’ll be joining a highly capable engineering team that’s already working well, and your job is to make sure things continue to run that way as demand grows.

If you’ve worked in an engineering, field service, or construction-style office before, you’ll understand the importance of accurate admin, good systems, and strong communication – and that’s exactly what this team is looking for.

What’s the role about?

You’ll be the go-to person for operations, scheduling and admin across the office – making life easier for engineers, managers, and clients. This is a hands-on role that mixes workflow management, project tracking, compliance, procurement and general coordination.

Here’s a snapshot of what you’ll be doing:

Work Order & Portal Management

  • Managing up to 10 daily work orders via client portals (Verisae, Mercury, Aeromark, M365)

  • Uploading quotes, tracking approvals, following up and ensuring timely invoicing

  • Liaising with clients to confirm PO details and flagging any discrepancies

Internal Systems & Scheduling

  • Owning the company’s job management platform – BigChange

  • Creating new jobs, scheduling engineers, tracking progress and updates

  • Producing weekly/monthly reports and keeping records consistent

  • Supporting and training colleagues on how to use the system effectively

Project Coordination & Support

  • Helping set up new projects, plan resources, and manage documentation

  • Coordinating job reviews and technical submissions

  • Tracking progress across live jobs and ensuring deadlines aren’t missed

Procurement & Compliance

  • Raising POs using Oracle and Coupa

  • Liaising with suppliers and tracking deliveries

  • Preparing RAMS documentation

  • Updating internal records for audits, training, vehicles and equipment

Office & Team Operations

  • Overseeing the booking of travel/hotels for engineers

  • Overseeing fleet admin (MOTs, servicing, fuel cards etc.)

  • Ensuring the team has tools, PPE and supplies as needed

  • Supporting a second regional division with occasional admin tasks

Is this you?

You’re organised, thorough, and great with people. You’ve worked in a busy technical office and understand how fast things move when engineers are involved. You’re confident working across systems and can bring structure to a growing operation – without being overly rigid.

You’ll need:

  • Experience in a similar office or admin management role

  • Confidence with Microsoft 365 (Excel, Outlook, Word)

  • Familiarity with systems like BigChange, JobLogic, simPRO or similar – desirable

  • Ability to raise quotes, track POs/invoices and manage project admin

  • Excellent prioritisation skills and a calm, proactive approach

  • Strong communication skills – able to keep things moving and people informed

What’s in it for you?

  • Salary around £40,000-£45,000 depending on experience

  • Choose your hours: 8am-4pm or 9am-5pm

  • Autonomy to make the role your own

  • Support from a capable and friendly technical team

  • Clear, stable remit with real impact on day-to-day operations

  • Opportunity to grow into wider responsibilities over time
